How to make ID card in Word

Creating and printing your employee badges on site is one way that you can cut costs while gaining complete control of their appearance and the information included on the IDs. You don't need an expensive program to do so, either. Simply use a label form in Microsoft Word and customize it to meet your needs. You can then save the document as a template, allowing you to create and print badges whenever you need them.

    Launch Microsoft Word. Enable the Developer tab if it is not present on the Ribbon. Right-click the "Quick Access Toolbar" next to the Word logo at the upper-left side of the window and choose "Customize the Ribbon." Choose "Main Tabs" in the Customize the Ribbon list and select the "Developer Tab" check box. Click "OK."

    Select the "Mailings" tab and click on "Labels" in the Create group. Click the "Options" button and choose "Avery US Letter" in the Label Vendors list and choose "5390" in the Product Number list. Click "OK." Click the "New Document" button to open a page of eight blank badges.

    Click inside of the first cell of the label document. Go to the "Developer Tab" and click on the "Picture Content Control" button in the Controls group to insert a picture control into the badge field. Go to the Table Tools "Layout" tab and click the "Align Center" button in the Alignment group to center the control in the cell. Go to the Picture Tools "Format" tab. Change both the height and width in the Size group to "1."

    Click outside of the picture content control. Go to the "Insert" tab and click on "Text Box" in the Text group. Choose "Draw Text Box" and draw a text box directly above the picture content control. Repeat the process to draw a box beneath the control. Press and hold the "Ctrl" key and then click on each text box. Go to the Drawing Tools "Format" tab and resize the text boxes to ".4" high and "2" wide.

    Press and hold the "Ctrl" key and click on the picture content control and each text box to select them. Press "Ctrl-C" to copy them. Click inside of each remaining cell on the page and paste the content control and text boxes in them to create an entire page of badges.

    Go to the "File" tab and select "Save As." Choose "Word Template (*.dotx)" in the Save as Type menu, name the file and save it in your desired location.

    Open the file to create employee badges. Click on a picture content control to open the Insert Picture dialog. Insert a photo of the employee from your computer or network. Type your business name, the employee's name and any other information into the text boxes. Print the page and cut out the employee badges to use as needed.
